Coordinating FBO line support for a photo mission.
A photo mission needs more than a shot list. It needs operator-approved FBO line support: ramp access, line crew, tug or GPU needs, hangar limits, aircraft movement rules, cabin power, aircraft reset, and a clean release path.
A photo mission can fail before the camera comes out if the aircraft is parked in the wrong place, cabin power is unavailable, ramp access is unclear, or the tug request lives in a casual text thread.
Coordinating FBO line support is the operations handoff that makes the creative plan possible. It names who asks, who approves, what support is needed, and what line crew, dispatch, crew, and the FBO need to know before anyone arrives.
This is not about asking a line service team to make photography the priority over aircraft movement. It is about making the request visible early enough that the operator, FBO, and crew can say yes, adjust it, or stop it before the mission interferes with the aircraft's real day.
Start with operator approval
FBO support starts with operator approval, not with a creative request. The operator should approve the aircraft, operating context, Part 135 or Part 91 status, location, support needs, and the person authorized to speak with the FBO.
That approval should identify whether the photo mission involves a managed aircraft, charter aircraft, owner aircraft, resale aircraft, or internal fleet asset. Each context changes who can approve ramp access, hangar access, aircraft movement, and public-use boundaries.
Keep the authority line plain. Airside can document the request and support the production plan, but the operator controls dispatch, aircraft status, FBO access, crew coordination, and any decision to move, power, stage, or release aircraft.
Define the line-service request
The FBO should receive one clear line-service request, not scattered asks from several people. Name the aircraft, date, arrival window, preferred ramp space, estimated time on site, support needed, and operator contact.
Common photo-mission needs include a tug, GPU or battery cart, cabin power, hangar door timing, exterior wash or wipe-down coordination, ladder or platform limits, lav or galley access, and space for a small gear footprint.
FAA ground-handling guidance treats servicing, ground handling, and marshalling as specific airport functions. That matters for photography because a request for power, towing, or marshalling is not a casual favor. It belongs in the operator-approved support plan.
Confirm ramp access before arrival
Ramp access should be solved before the team reaches the FBO front desk. Confirm parking, escort or badge rules, vehicle rules, gear route, hangar access, ramp space, and who meets the creative team.
NATA's ramp-access material separates access from aircraft servicing. That is useful framing for photo missions: a person may be approved to be ramp-side without being authorized to operate ground support equipment or service the aircraft.
The plan should say where people can stand, where gear can sit, which doors or paths are allowed, and what areas are off limits. If the airport or FBO changes the access plan, the photo mission changes with it.
Plan tug and aircraft movement carefully
If the aircraft needs repositioning, the support plan should treat that as aircraft movement, not a composition adjustment. Confirm who requests the tug, who approves the move, who operates it, whether wing walkers or marshalling are required, and what the stop rule is.
FAA vehicle and towing guidance repeatedly points to the same risk: aircraft, vehicles, people, and equipment share limited ramp space, and moving aircraft always deserve extra caution. Cockpit visibility is limited, and vehicles or pedestrians should not assume they have been seen.
The creative team should never pressure line crew to move an aircraft for a better angle. If the approved ramp position does not work, the mission either adapts or the operator approves a revised movement plan.
Coordinate power and cabin support
Cabin photography often depends on cabin power. Lighting, shades, screens, cabin management systems, temperature, and galley or lav details may need a GPU or battery cart, crew support, or a specific aircraft state.
Write down what is needed: cabin power on or off, APU allowed or not allowed, GPU or battery cart location, door position, air conditioning expectations, and who can touch seats, tables, panels, drawers, or cabin controls.
This protects both the aircraft and the line service team. Nobody should improvise with power, doors, or cabin systems because the photo plan forgot to ask before arrival.
Keep dispatch, crew, and FBO aligned
Dispatch needs to know the window, priority, and release path. Crew needs to know what is being photographed, what aircraft state is required, and where their time is actually needed. The FBO needs to know which requests are approved and which questions go back to the operator.
Use one contact tree. If line crew have a question about ramp space, tug timing, GPU placement, aircraft reset, or release aircraft timing, they should not have to decide whether to call the photographer, dispatcher, sales lead, owner representative, or pilot.
The support note should also say when the mission pauses: aircraft movement, passenger need, maintenance, weather, FBO direction, crew limit, dispatch change, safety concern, or owner/operator instruction.
Respect line crew work
Line crew are not props in the shoot. They may be fueling, towing, marshalling, meeting arrivals, helping departures, moving equipment, clearing FOD, or responding to a higher-priority aircraft need.
Build the photo mission around that reality. Ask for support in advance, keep the crew request specific, keep gear clear of line-service paths, and avoid repeated repositioning that was not approved before the mission.
NBAA ramp-safety guidance emphasizes that FBOs and flight crews share responsibility for safe ground movement. A photo mission should make their job easier to understand, not add a vague request to an already active ramp.
Reset and release the aircraft
Aircraft reset should be part of the support request. Before the team leaves, confirm gear is off the ramp, doors are returned to the approved state, cabin power is handled, tables and seats are reset, covers or chocks are addressed by approved personnel, and the FBO knows the mission is complete.
The release aircraft path should name who signs off with line service, who tells dispatch, who notes skipped support items, and who owns any follow-up if the aircraft moved, power was used, or access changed during the mission.
A short closeout note is enough: what support was used, what changed, what still needs operator review, and whether any old assumption should be removed from the next photo mission plan.

That handoff protects the aircraft day. It gives dispatch, crew, the FBO, line service, and the creative team the same operating picture before small requests become ramp-side confusion.
